Step 1: Understanding the Driver’s Availability
Before anything, we check whether drivers are available, their current locations, and what type of loads they can haul. No point in booking a load if drivers are not ready for hauling load. So we always communicate with drivers before diving into load searching.
Step 2: Finding the Right Load
We dive into our direct broker's load list, load boards, and direct shipper contacts to find the best-paying and most efficient loads. It’s all about balancing rate per mile (RPM), deadhead miles, and delivery deadlines and delivery zone.
Step 3: Negotiating the Best Rate
Brokers and shippers always want to pay less but we make sure our driver gets the best rate. we negotiate, counteroffer, and sometimes walk away if the deal isn’t worth it. No low-paying freight on our watch.
Step 4: Booking the Load & Confirming Details
Once the rate is set, I book the load and make sure everything is in place:

✔ Special requirements (e.g., tarps, temperature control, truck feature)
Step 5: Sending Load Information to the Driver
I send all details to the driver—no confusion, no surprises. They need to know exact addresses, broker contacts, and any special instructions. Communication is key. Once we get green signal from driver then we confirm the load and receive the Rate Confirmation and send it to driver.
Step 6: Keeping Track of the Load
Once the truck is rolling, I stay in touch. If there’s traffic, bad weather, or delays at the shipper/receiver, I handle it. Dispatching is all about problem-solving on the fly.
Step 7: Handling Paperwork & Invoicing
After delivery, I ensure the Bill of Lading (BOL) is signed, sent, and processed. Then, I either bill the broker/shipper directly or help the driver with factoring for quick payment. No paperwork, no payday.
Step 8: Rinse & Repeat
The truck is empty again? Back to Step 1. The goal is to keep wheels turning and profits flowing without unnecessary downtime.
